Privacy Policy

Applies to: EDM Army (“we”, “us”, “our”) and all websites, newsletters, and services we operate (the “Services”).

We value your privacy and comply with global data-protection laws, including the EU/UK GDPR, California CCPA/CPRA, Brazil LGPD, and other applicable regulations. This page explains what we collect, why, how we use and share it, your choices, and how you can contact us.


1) What we collect

a) Information you provide

  • Account/profile details, comments, messages, submissions, and support requests

  • Email address and preferences for newsletters/alerts

  • Content you upload (e.g., images) and any metadata included

  • Consent choices (e.g., cookie consent, marketing opt-in/opt-out)

b) Information collected automatically

  • Device and usage data: IP address, browser type, language, referrer, pages viewed, time on page, links clicked

  • Approximate location (derived from IP)

  • Cookies, pixels, SDKs, and similar technologies (see Cookies)

c) Information from partners

  • Analytics and advertising partners (aggregated reports)

  • Social platforms when you interact with embeds, share buttons, or social log-ins

  • Sponsorship/affiliate tracking (if you click a partner link)

We do not knowingly collect sensitive categories of personal data.


2) How we use your information (purposes & legal bases)

  • Provide and secure the Services (legitimate interests / contract)

  • Publish content and manage community features like comments (legitimate interests / consent where required)

  • Personalize content and measure performance (consent in the EEA/UK where required; legitimate interests elsewhere)

  • Marketing communications such as newsletters (consent; you can unsubscribe anytime)

  • Compliance, fraud prevention, and safety (legal obligation / legitimate interests)


3) How we use AI (Artificial Intelligence)

We use AI tools responsibly to:

  • assist with editing, translation, summarization, recommendations, and moderation;

  • detect spam/abuse and protect our community.

Your data & AI

  • We do not use your personal data to train third-party, general-purpose AI models unless you give us explicit permission.

  • When we send data to AI service providers to perform a task (e.g., moderate a comment), they act as our processors and are contractually prohibited from using your data to train their foundation models.

  • We may analyze aggregated or de-identified data to improve our Services.

  • We do not make decisions producing legal or similarly significant effects based solely on automated processing. You can object to profiling used for personalization at any time (see Your rights).

AI content labeling
Where feasible, we label AI-assisted or AI-generated content and disclose edits.


4) Cookies & similar technologies

We use:

  • Strictly necessary cookies (site security, load balancing, consent logging)

  • Performance/Analytics (e.g., to understand readership; IP is truncated where required)

  • Functionality (remember choices like language)

  • Advertising/Measurement (ad delivery, frequency capping, interest-based ads where permitted)

Your choices

  • Use our Cookie Settings link (found in the footer or banner) to accept, reject, or fine-tune categories.

  • Most browsers let you block cookies or clear them; doing so may affect site functionality.

  • We honor Global Privacy Control (GPC) signals in jurisdictions where required.

  • “Do Not Track” (DNT) isn’t standardized; we treat GPC as the applicable signal.


5) When we share data

We share data only with:

  • Service providers (hosting, security, analytics, email delivery, payments if applicable, ad-tech, customer support, AI moderation/translation);

  • Business partners for sponsored content or affiliate measurement;

  • Legal authorities when required by law or to protect rights and safety;

  • Corporate events (merger/acquisition) with appropriate safeguards.

We do not sell personal data for money. Under some laws, “share” can include certain ad-tech disclosures; see Regional rights to opt out.


6) International transfers

We operate globally. When we transfer personal data outside your country, we use adequate safeguards such as the EU/UK Standard Contractual Clauses and additional measures as needed.


7) Data retention

We keep personal data only as long as necessary for the purposes above:

  • account and comment history: while your account/comment remains public + a reasonable period for backup/audit;

  • analytics logs: typically 12–24 months;

  • marketing lists: until you unsubscribe; suppression lists kept to honor your opt-out;

  • legal/security records: as required by law.


8) Security

We use administrative, technical, and physical safeguards (encryption in transit, access controls, monitoring). No system is 100% secure; if we detect a breach, we will notify you and regulators as required.


9) Your rights

Depending on where you live, you may have the right to:

  • Access your data and get a copy

  • Correct inaccurate data

  • Delete/erase data

  • Object to processing (including profiling)

  • Restrict processing

  • Portability (receive data in a structured, machine-readable format)

  • Withdraw consent at any time (doesn’t affect prior processing)

California (CCPA/CPRA): You can request access, deletion, correction, and to opt out of “sale” or “sharing” for cross-context behavioral advertising. We also recognize GPC as an opt-out signal.

Brazil (LGPD): Similar rights including confirmation of processing, anonymization/blocking, and information about sharing.

To exercise rights or appeal a decision, please submit a request via our Privacy Request form (see Quick Links below). We may need to verify your identity. You may authorize an agent when permitted by law.


10) Children’s privacy

Our Services are not directed to children under 13 (or the relevant age in your country). We do not knowingly collect personal data from children. If you believe a child provided personal data, contact us through our Contact page and we will delete it.


11) Third-party links & embeds

Our content may link to third-party sites, players, or social embeds (e.g., YouTube, Spotify, Instagram). Their privacy practices are governed by their own policies. Please review them before using those features.


12) Changes to this policy

We may update this Policy to reflect changes in law or our practices. We will post the new date at the top and, when required, notify you through the Services.
